The job is basically of two parts;

 

a; The recording of membership figures for District and International purposes.

b; The maintaining of the magazine circulation mailing list.

 

On receipt of the 'M' report ( by the 18th of the month),each club's membership is recorded on a sheet which records the variations month by month. All months are important for records and there are two much more important months. These are June and December numbers which are used to calculate our half yearly dues. These figures are reported to Oak Brook who in turn bill your club for the half year.

 

The mailing list for the magazine is the other element of the job. After spending time on the numbers, it is necessary to take all the information for up dating the mailing list. It is essential to do all this before sending the top copies to USA. The DG having already receiving his with his figures sheet.

We record new, dropped and amended members details on input sheets. Amended addresses are an important part of the exercise.

Each year at the start, we receive our district section of the MD mailing printout. This is the complete record of all persons receiving the magazine. Everyone has a unique five figure ref number, part of that number is a code for the lions club. It is the job of the B&I officer to check all names addresses and post codes of everyone on that sheet. For this purpose it is essential that we have from every club a complete list of all members with addresses and post codes whether they are active, at large, honorary, life members or associate members. It is then possible to keep an accurate record. This is kept up on a monthly basis.
