Correspondence
E-mail received from Lynn Chapman at Deepings saying that along with the County coach she would like to arrange a County training day. DH asked LC for further information to bring to the meeting i.e., venue, costings, target group no information received prior to the meeting. MR stated that LC had been away.
E-mail received from Melanie Biggadike regarding a masters clinic to be held at Cranwell on the 26th July at 12 4.00pm. NS to contact MB for further information, so that the information can be circulated to masters swimmers.

Matters arising from the minutes
Item d
The executive committee agreed to retain the existing rues relating to age group competition best times and championship records.
All heats will be combined age group and championship events and all times are eligible for both records and best times.
Finals are championship only events and therefore not eligible for age group competition best times.
The championship secretary keeps both age group competition best times and championship records up to date and there is no need to claim these.
County records displayed on website must be claimed in the usual way.

Report submitted request to place an order for polo tops for the inter-counties.

Report of the Hon Masters Secretary
Information for the Masters competition in October has been distributed to clubs.
NS received a claim for a Masters record 5 days out of the 28 day claim period, NS rejected the claim and received a response from the chairman of the club concerned accusing the county of age discrimination, NS respond that the claim was rejected due to being out of the time scale, and nothing to do with age.
Request that the age groups be looked at for the masters records, these currently have a top age group of 70+ would like to see the introduction of 75+ this was discussed and agreed that the age categories would remain as they are at present.

Grantham have confirmed bookings for 2009 County Championships. Offers from 3 clubs to host main galas LV for the 800, no offers yet for the 1500.
Slight alterations to some of the qualifying times for 2009 these were discussed and the times agreed.

£132.00 was the total refunded for claims made from 2008 Counties due to illness.

Report of the Hon Records Officer
Rankings claims are all being sent in as requested. County records had not been updated since April now almost up to date. MC asked if a certificate could be issued for any records claimed from the 1st July DH stated that this had been discussed in the past with Ray Wheeler and had been agreed then. This was discussed and agreed that a tick box would be added to the record claim form asking if claimant would like a certificate any certificates requested would be e-mailed out.
NW asked why times achieved at Nationals would be accepted after the closing date for next submissions for the rankings but not times from other competitions MC explained that a cut off time had to be agreed to allow enough time for updating ready for Inter-county team selection, but that National times have always been updated.

PC reported that changes to the way CRB checks are carried out is to be introduced no one will be allowed onto poolside as a helper, official or coach until the CRB check has been completed for the check to be carried out you also have to be a member of the ASA and the appropriate fee paid.
PC said that lists of current courses and CPDs have been circulated to clubs from the ASA and via Dave Carter at LSP.

There is an East Midlands DSE regional competition arranged for the 19th Oct it was pointed out that this was the same day as the Inter-counties and Deepings Open Meet. There are also plans for 2009 for a disability Olympics at Leicester.

Report of the Hon Open Water Secretary
Season is now underway with a Grand prix taking place, first event on the 5th July at Weymouth, 12th at Scarborough, 13th Bosworth and 20th at Norwich, with the final on the 14th August at Holme Pier Point.
SG said that 100m swims in open water are being developed to encourage more participants. It was pointed out that these events all clash with other competitions within the swimming calendar.

Report from East Midlands Region
In an attempt to attract more people to attend the ACM this year officials and masters presentations will be made during the morning then Lunch and the ACM and further presentations in the afternoon. Date for this years ACM is the 13th September at Quality Inn, Leicester.
The ASA are making a few minor changes to club constitutions this will be introduced for new clubs and those clubs coming into the Swim 21 process.
Finances were discussed at the last board meeting and the amounts for the next 3 years membership fee was agreed the idea is that a 3-year budget plan to cover development for the region can be put together.
PC stated that there will now only be one representative from each County for the board but will require a reserve person in case nominated person could not attend. PC has resigned his position on the board due to a clash with other roles he has undertaken.

Talent Pathway Update
DH said that interviews had taken place with 2 candidates being suitable for the position, the post has been offered but as yet due to a family bereavement no confirmation of acceptance had been received
The availability of the pool time at Sleaford was discussed it was agreed that this pool time would be accepted so that it is not lost. Lincs ASA will contribute to the costs until the pathway is finalised. DH to contact Sleaford pool to confirm booking.

CH asked about the availability of polo tops for County Officials, this was discussed and agreed that tops should be available for purchase DH to price and order. When information is sent out to officials for 2009 County Championships this could also include an order for tops.
CH asked how team selection for the inter-county masters competition is made NS said that swimmers are selected from the masters rankings so it is important that clubs send in rankings claims for there master swimmers.
DH informed the committee that the Aquaforce volunteer nominations had been received and that the County exec needed to decide the winners in each category, these would then be sent onto the EMASA for presentations to be made to the County winners at the ACM in September.
